How to protect and transfer your digital accounts after death: Practical & legal guide

Losing access to email accounts, cloud photo libraries, banking portals, or professional services is one of the most painful and frequent crises families face when a loved one passes away. In our digital age, we store lifetimes of memories and critical affairs on platforms that, by default, are programmed to block third-party access after extended inactivity.

To avoid having your digital estate frozen forever in legal and corporate limbo, it is essential to understand how major tech companies handle these situations and how to plan proactively.

Digital account protection and legacy management

1. The Google Ecosystem (Gmail, Google Drive, Google Fotos)

Google offers a built-in feature called Inactive Account Manager. It allows you to decide what happens to your account if no activity is detected for 3, 6, 12, or 18 months:

  • You can designate up to 10 trusted contacts to receive a download link containing specific parts of your data (such as your Google Photos library or Drive documents).
  • Its major limitation: Google does not provide direct passwords or allow ongoing account management. If your contact fails to download the archive within the deadline, all your data is permanently deleted from Google servers.

2. The Apple Ecosystem (iCloud, iPhone, iPad, Mac)

Starting with iOS 15.2 and macOS 12.1, Apple introduced Digital Legacy Contacts:

  • You can designate individuals who can request access to your iCloud account (photos, notes, messages, emails, and backups).
  • The bureaucratic hurdles: For Apple to approve access, your contact must present both the special access key generated on your device and an official copy of your death certificate. Apple reviews requests manually before releasing data.

3. Financial Accounts, Neobanks, and Cryptocurrencies

Financial assets are the most sensitive area. As soon as traditional banks are notified of a passing, accounts are automatically frozen until probate concludes—a process that often takes months or years:

  • Recurring subscriptions: Streaming services, cloud storage, software licenses, or gym memberships continue charging monthly if family members cannot access accounts to cancel them.
  • Crypto Wallets (Ledger, Metamask): No bank or notary can unlock a decentralized wallet. If private keys or seed phrases are not transferred securely, funds are lost forever on the blockchain.

4. The digital fragmentation dilemma

The average person now manages over 90 distinct online accounts and digital services. Configuring legacy options company by company is exhausting, confusing, and in most cases impossible, since 95% of online services provide no posthumous contingency mechanism whatsoever.
